Your data and how to delete it
What FuturePostman stores about you, how to delete a letter, a file or your whole account, and what stays behind afterwards.
6 minutes to read
You can remove a single letter, a single file or the whole account yourself, at any time. Deleting is final: there is no bin and no undo. The app has no export either, so copy what you want to keep first.
What FuturePostman stores
- Account
- Your email address and name, what you add in Settings (postal address and company details), your plan and how much of it you have used. Signing in is handled by Clerk, the sign-in provider.
- Email letters
- The recipients, subject and text, stored encrypted. The delivery date, the status and the options you chose. After delivery, a record of each address the letter went to and when.
- Files and recordings
- The encrypted file, its name, size and type, and a log of each time it was opened or downloaded, with time, network address and browser.
- Paper letters
- The text, a greeting or sign-off you typed, and the name and postal address of the recipient, stored encrypted. The status and the tracking events.
- Contacts
- The people in Contacts: email address, name and whatever else you filled in. An address you send an email letter to is added by itself.
- Public letters
- The name to show, the tags, and the views, likes and comments. For a letter that was not approved, the reason the moderator gave.
- Payments
- A record of each payment and of every credit bought, used or returned. Card details are held by Stripe, the payment provider, not by FuturePostman.
- Logs
- Technical logs for security and error tracking, which can include your network address and browser.
How letters and files are encrypted, and who can read them, is described in how your letters are protected.
Delete a letter
Open Manage Letters, find the letter under Email or Paper letter and choose Delete in its menu.
| Letter | What deleting does |
|---|---|
| Email letter that has not been delivered | It is never delivered. Its files are deleted with it. Its place in your monthly allowance is given back if you wrote it in the current month and it has reached no recipient. |
| Email letter that was delivered | It is removed from your account together with its files and its delivery records. The recipients can no longer read it: their link says The sender removed this letter. If it was in the public gallery, its page, likes and comments go too. |
| Email letter that is being sent at this moment | It cannot be deleted. Try again when the sending is done. |
| Paper letter that still waits | It is not posted, and its credits come back. |
| Paper letter at the print centre, not posted yet | It is deleted and refunded only if the print centre can still cancel it. |
| Paper letter that was posted | It stays on its way and nothing is refunded. Once it is delivered, returned or no longer followed, Remove from list takes it out of your account. |
The details are in edit, reschedule or delete an email letter and in change or delete a paper letter.
Delete a file
Open Files, open the menu of a file and choose Delete. The file is erased from the server and no recipient can open it any more. The letter it belonged to stays.
- Files also go on their own. When the link of a delivered letter has expired, its files are kept for another 30 days and then deleted for good. Until then you can give the link more time with Extend Expiration.
- An upload that never became part of a letter is removed after 24 hours.
Delete your account
Open the Danger Section
Go to the Danger Section. It is at the end of the Profile tab of Settings.
Press Delete Account
A dialog asks Are you absolutely sure? and lists what the deletion does: your data is deleted, a paid plan ends without a refund, your credits are lost, paper letters that still wait are cancelled, and paper letters already at the print centre are still posted.
Confirm
Press Delete Account again. There is no further step and no waiting period: the account is deleted at once and you land on the start page.
What is removed and cancelled
- Every subscription. It is cancelled at Stripe right away, so nothing is charged again.
- Your sign-in account at Clerk.
- All email letters, sent and scheduled, with their files and recordings. Recipients of delivered letters can no longer open them.
- The delivery records of your email letters: the addresses they went to and the times.
- All paper letters in your account. A letter that has not been handed to the print centre is cancelled and is not posted.
- Your credit balance.
- Your profile and your contacts.
- Your public letters with the likes and comments under them.
- The comments you wrote under other letters and the reports you sent.
- The likes you gave. The like count of each of those letters goes down by one.
- The payment records and the credit history kept by FuturePostman.
What remains
- Invoices, receipts and the customer record at Stripe. FuturePostman cancels the subscription there but does not erase the payment history. See invoices and payment.
- What has already left. A notice email stays in the inbox of its recipient, although its link no longer opens the letter. A paper letter that is already at the print centre is still printed and posted.
- Technical logs. They no longer point to an account.
- A backup of the service that was made before the deletion. Letters and files in it are still encrypted.
- Emails you exchanged with support.
If the deletion fails
The message says in which state the account is. It stays on the screen until you close it.
| Message | What it means and what to do |
|---|---|
| Your account was not deleted and nothing was changed, because your subscription could not be cancelled. Try again in a moment. | The payment provider could not be reached. Nothing was deleted or cancelled. Try again a little later. |
| Your account was not deleted. Your letters, files and credits are all still here. A paid plan, if you had one, has been cancelled and is not refunded. Try again in a moment, and contact us if it keeps failing. | The deletion stopped after billing was ended. Everything else is as it was, and your paper letters are still posted on their day. Try again, and contact support if it keeps failing. |
| The account could not be deleted completely. If you can no longer sign in, your sign-in is already removed: contact us and we remove what is left. | The sign-in account may be gone while some of your data is still on the server. Contact support so that staff can remove it. |
If you signed in with Facebook
Facebook lets you ask an app to delete your data from the Facebook settings. When you do that for FuturePostman, the request is recorded for the team together with a confirmation code, and Facebook gives you a link to the status page of the request. The link carries the code. Opened without a code, the page explains how such a request is handled and links to Delete your account in Settings.
Privacy policy and other requests
- The Privacy Policy says what is collected, why, and which outside services take part: Clerk for signing in, Stripe for payments and an AI provider for the AI writer. It also says that email letters and their files are always stored encrypted, and that paper letters reach the print centre in readable form.
- The Terms of Service hold the rules for using the service.
- For a request the app has no button for, such as a copy of your data or a correction, write to support. The address is in the privacy policy. See contact support.
- How your letters are protectedWhat FuturePostman encrypts, how a recipient proves who they are, when a link stops working, what staff can see and where the protection ends.
- Edit, reschedule or delete an email letterWhat you can still change after an email letter is scheduled, which plan it takes, and what deleting a letter removes and gives back.
- Change or cancel your planUpgrade, switch between paid plans, cancel and resume, and what happens to your letters, files and credits afterwards.
- In the appSettingsYour profile and the Danger Section.
