Choose a layout for the email your recipient gets

A layout sets the look of the notice email: its header, colours and type. Set your usual one in Settings, or pick one for a single letter.

When an email letter is delivered, the recipient gets a notice email with the button that opens the letter and the access code. The layout decides how that email looks. There are 10 layouts, 4 of them premium. You can use the standard layout on every plan. More layouts come with these plans: Time Master Pro and Postmaster.

The layouts differ in the header, the accent colour and the type. The part of the email with the button, the access code and the list of files has a light background in every layout, also in the ones with a dark header.

Which plans can use which layouts

The regular layouts come with these plans: Time Master Pro and Postmaster. The premium layouts come with: Postmaster.

A layout your plan does not include shows a lock. In Settings its card is marked Not in your plan. You can still preview it there, and See plans leads to the plans. In the composer a locked layout says Not included in your plan, and a click on it opens a notice with See plans.

Set your usual layout in Settings

  1. Open the layouts

    Go to Settings and choose the tab Layouts.

  2. Look at a layout

    Preview on a card, or a click on its small picture, opens the layout at full size.

  3. Choose it

    Press Use Layout on the card or in the preview. The card is now marked Active.

Every new letter starts with this layout. Letters that are already scheduled keep the layout they were confirmed with.

Pick a layout for one letter

  1. Open the preview

    In the composer, press Preview under the letter text. On a wide screen the name of the current layout is shown next to it. The dialog Preview of the notice email opens.

  2. Choose a layout

    Click a layout in the list Choose a layout. On a phone the list is a row above the preview. The preview changes to it.

  3. Use it

    Press the button Use with the name of the layout. The dialog closes and the letter has this layout.

  • The choice is for this letter only. Your usual layout in Settings stays as it is
  • The choice is not kept in the draft. After a reload the letter is back on your usual layout
  • The layout is stored with the letter when you confirm it. It cannot be changed afterwards, also not on a plan that can change scheduled letters

The preview and the test email

The preview shows the notice email as a sample: a sample sender and recipient, a sample access code, and in the composer the names of the files you attached. Your own text is not in it, because the notice never contains the letter. The letter opens behind the link.

Send a test to me, in the preview in Settings and in the composer, sends a notice in this layout to the email address of your account, with your own name as the sender, so you can see the layout in your own mail program. Its subject is always Test of the notice email your recipients get, in the language you use the app in.

  • The button in a test email opens nothing and the access code is a sample
  • A test email is not a letter and is not counted in your month
  • You can send up to 5 test emails within 10 minutes. After that you get Too many test emails. Wait a few minutes and try again.
  • No test is sent for a layout your plan does not include. In Settings the preview of a locked layout says Not in your plan, so no test can be sent. in place of the button

After a downgrade

The layout of a letter is checked against your plan at the moment the letter is delivered, not only when you write it. A paid plan that has run out counts as the free plan.

  • A scheduled letter with a layout your plan no longer includes is delivered in the standard layout. It still goes out on its day, with the same text, files and settings
  • The letter keeps its layout on record. If you are back on a plan with that layout before the day of delivery, the letter uses it again
  • New letters start with the standard layout for as long as your usual layout is not part of your plan
  • In Settings the layout you had chosen shows the lock and the line Your plan no longer includes this layout. Your letters go out in Standard. The card Standard is marked Active
  • Your choice stays saved. After an upgrade it applies again without any step from you

Good to know

  • An anonymous letter uses the layout you chose too. The notice then says Anonymous Sender in place of your name
  • Paper letters have their own paper styles, which are chosen in the paper composer. Email layouts do not apply to them
  • If saving a layout fails, Settings shows Failed to update layout and keeps the layout you had
