Edit, reschedule or delete an email letter

What you can still change after an email letter is scheduled, which plan it takes, and what deleting a letter removes and gives back.

A scheduled email letter can be deleted on every plan. Changing a letter that still waits for its date, which includes moving it to another time, needs a plan with editing of scheduled letters. Plans that include it: Postmaster. A letter that failed can be corrected on every plan. Once a letter is sent, nothing in it can be changed.

Change a scheduled letter

  1. Find the letter

    Open Manage Letters and stay on the Email tab. Use the search field if the list is long.

  2. Open it for editing

    Open the menu of the row and choose Edit. The Edit letter page opens. The menu has no Edit for a letter that is being sent, is sent or is viewed.

  3. Make your changes

    Change the addresses in To, add more recipients with Cc / Bcc, and rewrite the Subject or the text.

  4. Move the delivery time

    Under Arrives, press the date and pick a new day and time. To send the letter without waiting, choose Send Immediately in the date picker.

  5. Save

    Press Save changes. The button becomes active once you have changed something, and nothing is stored before you press it. Cancel leaves the letter as it was.

If your plan does not include it, the page shows Changing a scheduled letter is not included in your plan with the delivery date in place of the form, and the button See the plans. The letter itself is untouched and is delivered as planned. Without that plan, the way to change a waiting letter is to delete it and write it again.

What you can change

  • The recipients in To, Cc and Bcc
  • The subject and the text
  • The delivery time, including sending it as soon as possible

What you cannot change

  • The files. They are fixed when the letter is written, and the edit page only shows how many there are. You can remove a single file on the Files page, but you cannot add one
  • Whether the files may be viewed or downloaded. The download limit is the exception: you can change it for each file on the Files page
  • How long the link stays open. After delivery you can give the link more time
  • The layout and the date written on the letter
  • Whether the letter is sent anonymously
  • A letter that is Sending, Sent or Viewed

To change one of these, delete the letter and write a new one. The public gallery settings of a letter are not on the edit page either. You change them under My public letters.

Rules for a new delivery time

  • The new time must lie in the future and within the range your plan schedules ahead. The date picker does not offer days outside that range
  • The time is shown and picked in the time zone of your device. The page names the zone under the date
  • With Send Immediately the page shows As soon as possible, and the letter is sent within a few minutes after you save. It cannot be called back after that
  • Moving a letter does not count it again. It stays counted in the month you first scheduled it
  • If the letter is also published in the public gallery when it is delivered, the publication moves with the new time

Delete a letter

Deleting works on every plan and in every status except Sending. While a letter is being sent, Delete in its menu is switched off.

  1. Open the menu of the letter

    In Manage Letters, open the menu of the row and choose Delete.

  2. Confirm

    The Delete Email dialog asks once more. Press Delete, or Cancel to keep the letter.

What deleting removes

  • The letter with its text and recipients
  • Its files. They are removed from our storage and no longer count against your file storage or your files of the month
  • The records of its delivery, which hold the addresses it was sent to
  • Its page in the public gallery, with the likes and comments, if it was published

If the letter was already sent, the notice emails stay in the inboxes of the recipients, but the letter behind the link is gone. A recipient who opens the link afterwards reads The sender removed this letter.

What happens to your monthly count

A letter is counted against your monthly letters when you schedule it. Deleting gives that place back only when both of these are true:

  1. The letter never reached a recipient. It was still scheduled, or it failed before a notice went out to anyone
  2. You scheduled it in the month that is still running

A letter that was sent stays counted. So does a letter that failed after a notice went out to at least one recipient, also when every address refused it afterwards. A letter from an earlier month gives nothing back either: that month is closed and its count has already been reset.

Failed letters

A failed letter is tried again by itself for a while and shows Trying again in between. When nothing more is tried, it shows Not delivered and you get an email. You then have two ways, on every plan:

Try again
In the menu of the letter. It sends the letter once more exactly as it is. Recipients who already got it are not mailed a second time.
Edit
Correct an address or the time first. Save changes puts the letter back in line with a fresh set of automatic tries.
  • The time shown on the edit page has usually passed. The page then says that the letter is sent within a few minutes after you save. Pick a new time if it should wait
  • Save changes stays inactive until you change something. To send a letter again unchanged, use Try again
  • If the letter already reached some recipients, its subject and text are locked. Only the addresses and the time can be saved
  • Neither way counts the letter again in your month

What can go wrong

When a save or a delete is refused, the app says why.

The delivery time has already passed. Choose a later time, or send the letter right away.
The time you picked went by. Pick a later one, or Send Immediately.
This date is further ahead than your plan schedules. Choose an earlier date, or look at the plans.
Pick a date inside the range of your plan. The plan comparison shows the ranges.
This letter has already reached some of its recipients, so its subject and text can no longer be changed. The addresses and the date still can.
You changed the subject or text of a failed letter that some recipients already hold. Leave both as they were and save the addresses or the time.
This letter is being sent right now and can no longer be changed or deleted.
The notices are going out at this moment. Go back to Manage Letters and wait until the status has changed.
This letter has already been sent and can no longer be changed.
It was delivered while the page was open. You can still delete it.
Changing a scheduled letter is not included in your plan.
Your plan changed while the page was open. Delete the letter and write it again, or look at the plans.
This letter changed in the meantime. Reload the page and try again.
Its status changed in the same moment, most likely because it was taken for sending. Nothing was saved or deleted. Reload and look at the status.

Messages under a field are about that field: an address that is not valid, a missing subject, a subject longer than 200 characters, or a letter without text.
